For our upcoming projects in our Brussels studio, we are looking for a Payroll & Administration Support Officer to enhance our HR Department.
You are responsible for the Administrative and Payroll tasks to ensure a smooth running by working closely with other members of HR & Production department. You will be the main contact for the artists at the studio for all the matters related to the wages payments and contracts. You support the studio on a day-to-day basis.
You are responsible of Artists invoicing processes: control the numbers of days worked by artist and the amount of each invoice, deadlines with intermediaries (SMART, Amplo) etc.
You are the main contact between Umedia VFX and partner companies such as SMART and Amplo, in order to ensure a smooth communication with them and an optimal management of artists’ invoices, you handle all the inquiries related to the payments and contracts.
You manage all the artists’ invoices at the end of each month (SMART, Amplo, Independent invoices) and the artist’s contracts extensions for subsequent projects.
You are the main contact with the accounting department for invoices payment
You provide all the needed information to the HR department in order to establish the artists’ contracts.
You are the main contact person for all current artists related to their payments and contracts
You accurately track and process HR documents and follow up as needed.
You work closely with the Recruitment Executives on a day-to-day basis
You provide administrative support to the HR/Production/Business department
You are responsible for the organization and coordination of HR and internal events, meetings, etc.
You assist all the departments in day to day tasks and emergencies
We’re looking for someone who is full of charisma and charm, who is proactive and has a positive "can-do" attitude with a lot of attention to detail :
You have a College or University Degree in a related field
You are skilled and you have a previous relevant experience in payroll and administrative management
You have good knowledge of the Belgian social legislation
You are highly organized and have the ability to multi-task, you are rigorous and like challenges.
You are a quick solver and deliver on time
You have extensive knowledge of Microsoft Office.
Excellent written and verbal communication skills.
Maturity / discretion in handling sensitive/confidential issues.
You speak fluently French and English; speaking Dutch is a plus
You are autonomous, rigorous and demonstrate an entrepreneurial mindset with a high sense of responsibility. Knowledge of the VFX and European film industry is an asset.
